Hello, my job is very stressful at times due to deadlines and multiple phone calls. Sometimes I have to let my calls go to voice mail in order to get some work done. However, I try to return my phone calls within 24 hours. Some customers get antsy and they call my supervisor and complain about me. I think this is very unfair since they need to realize that I'm working on multiple files and I'm trying to help everyone out. However I must prioritize. What would be a good outgoing message that lets them know that I'm not just ignoring phone calls but that I will get back to them as soon as possible?

"You have reached (blah blah) I'm sorry I cannot answer your call at the moment, please leave a message and I can assure you a return phone call within the next 24 hours, thank you for calling". That way they are assured you will get back in 24 hours, and it also lets them know you are busy, as you would not have stated it may take up to 24 hours to return the call...

Depending on what your business is I would be really concerned about your 24 hour call back time.

In my old company I made all of our people call their customers back within 2 hours - no questions and no excuses. Your business may be different than that but if your supervisor is getting complaints that's not good for you, and eventually for your supervisor.

If the 24 hours call back system is okay than i would put that in your phone message. I'll call you back within 24 hours.

Tread very lightly on this. A customer doesn't care if you're servicing another. They only think their stuff is important. You don't want to make your customers think one is more important than them.

In your announcement, let the caller know that they are very important to you and you will back as soon as possible. Set time aside in the AM and PM to answer these calls, even if you don't have time to fix the problem, make the call and make the customer think you're working on their problem.

Customers will always feel their needs are the most important no matter what, so they wont see you having other things to do as being very good. It's just the way customers are. The only thing you can do is say you will return the call withing 24 hours, so they know how long to wait and that may calm them a bit because otherwise they will just think you don't care and will keep calling until they get a response because they don't know when you would call back otherwise.
